Volunteer Coordination

Disaster response depends on volunteers. The challenge is to connect the appropriate person and skills, at the right time and place, while dealing with unsolicited offers too numerous to count. Building on the expertise of dozens of relief agencies, Volunteer Now is the solution.

Manage affiliated, unaffiliated, and crowd-sourced volunteer opportunities for individuals and teams, for one or many partner agencies, and for one or many discrete events. Manage volunteers across your entire service area, state, or nation-wide. Can be used during blue skies as well. Capture skills, licenses, experience, and more. Track status, availability and hours. Integrated background checks and geo-fenced ID badging are available through our partner Sterling Volunteers. Volunteer Now is ready now, and is configurable to meet your specific workflows and business practices. No charge for volunteer accounts.

Shelter System Management

Sheltering is often the first phase of response, and it can set the tone for the entire operation. We took more than a decade of experience supporting the National Shelter System and created the next generation solution.

Ready now, and configurable to your operations, support general and special needs populations, create registries for use before disasters, and register shelter residents during disasters. Move their information seamlessly into Client Connect and Case Management modules (described above). Manage capacity, bed counts, pets, incidents, and more by event, by agency, and by disaster operation. Manage aspects privately and inform the public as you deem appropriate. Integrated mapping services are included. No charge for registry or registered clients.

Goods & Services Donations

Coordinating solicited and unsolicited donations of goods and services can be a serious challenge. Built in partnership with leading relief agencies, this solution works—with a virtual marketplace of offers and claims, and the ability to say, 'no.'

First, we focus on priority needs, and we give you the ability to reject what is not needed. Plus, you can decide if you want to open the system to business donors, service clubs, or to the public. We also make the technology stop where it should—we protect and support the relationship between donor and recipient. For larger operations we include a warehouse mode so you can store goods and services for later use.

Case Management

For short or long-term disaster case management, this is the new comprehensive solution from the company that deployed the nation’s first coordinated assistance platform, used by hundreds of relief agencies for millions of clients.

Begin with this module, or start with the data you have already collected during client intake (above). No more duplicate data entry. Now you can support coordinated services, multi-agency partnerships, sequence care across timelines, send confirmation messages, assign and transfer case managers, and use pre-built or your own assessments. Manage households, construction rebuilds, approve financial payments, exchange case data with others systems and much more. Ready now, and configurable to meet your specific workflows and business practices.

Functional Needs

To support those with access or functional needs, and to ensure lawful and equal assistance before, during, and after a disaster this integrated module manages the FNNS in advance, and during disaster relief operations for one or many collaborative partners.

FNSS are designed to let individuals maintain their independence as much as possible after a disaster. FEMA outlines examples of support, including durable medical equipment, consumable medical supplies, and personal assistance services. These are often most useful for individuals with physical, sensory, mental health or cognitive or other disabilities that could impair their independence. This component of the Visionlink disaster platform captures, organizes, and supports the easy update of services before, during, and after disaster operations.

Procurement Agreements

As we well know, not everything can be done by volunteers and through donations—this module supports business procurement agreements that are best arranged pre-disaster. Easy to manage, this is a low cost way to leverage your private sector effectively.

The most effective disaster relief operations integrate the private sector. This module is designed to pre-establish business procurement agreements so you are ready to activate private industry partners immediately after a crisis or disaster. Organize by disaster type, event, and location. Includes contributed, specially discounted, volume discount, and regularly priced options. Simple to use, easy to update. No charge for business user accounts.

Financial Assistance

If you include financial assistance as part of your recovery operations, we turn this into an integrated component. We move hundreds of millions of dollars every year with secure, PCI compliant solutions. Full auditing trails, identity checks and more.

We support a range of financial assistance options, from simple PayPal portals, to data bridges with payment processors, and two-way integrated solutions with banks and other payment systems. We can integrate identify management, and typically include a range of error checking, min-max constraints, event-specific controls. Case managers can specify awards, supervisors can review, and financial auditors can check and verify.

Situational Awareness

Collaborating with partners is the key to success, but knowing enough about each other’s response can be time consuming. So we made it quick and simple to know what is already in place and what is needed for more efficient and effective response.

No one wants to duplicate what another chapter or agency is already doing, but tracking this level of detail needs to easier. So we created OpsTracker with input from many relief agencies. Open only to trusted partners, share brief details about your operations with quick check lists. Know what is currently happening, what is needed. View in lists or on maps, and report out with a click. Ready to deploy now, and configurable for your specific operations. Can be used within a large agency with multiple operations, or across many partner agencies.

Services & Referral

Disaster survivors may need a few—or many services to support their recovery. This comprehensive solution captures, manages, updates, and communicates information about available services. Options for self-service and contact center support are included.

Organize community, state, and federal services for survivors, from nonprofit, for profit, and government agencies. Keep the information up-to-date with digital dashboards for each service provider. Manage both public and private information from one system. Filter resources and services for specific events and types of disasters. Includes text, email, telephony and other integrations.

Multi-Lingual

Language barriers are so much worse during disasters. So we support real-time, browser based translation services—but we go further: Virtually any form and tool across this entire suite can be deployed in one or many languages simultaneously.

We support three kinds of language support. First, you can use browser based translation in more than 100 languages. Second, you can manage records and data entry in specific languages directly—or you can manage multiple languages on the same records. Third, you can localize the forms and fields to support different dialects as you need. The best part? The tools are simple, and the system builds the forms for you—including the success and error messages, the triggers and scripts, and more. When the conditions are the most stressful, let’s remove language as a barrier.

Data Exchange

Barriers to data exchange are the most frustrating, and the most serious during disaster relief operations. To break this barrier, Visionlink's API Builder can be used to build your own endpoints, or to let us build your data exchanges quickly.

We specialize in data exchange. In fact, we move hundreds of millions of pieces of data every week with the most advanced data exchange builders in this market. Our customers have created their own API endpoints without even calling our Help Desk. Need something more complex, such as integrated identity management and financial assistance? Or cross-site searching, or synchronized case management across different systems? Our engineers do this all the time. Want to learn even more? Explore API Builder.

Blue and Gray Skies

We build for both blue and gray skies because systems used day-to-day are the most effective when disasters strike, and because systems used for disaster relief then need to support long term recovery and more resilient communities. Learn more about our Blue-Sky-Grey-Sky Approach.

Expertise

Our staff brings many decades of experience to the table. And this is real experience, designing and managing national operations, supporting networks of relief agencies, and working on-site in many different kinds of disasters. We understand the work. Learn more about our staff.

Reports & Analytics

We have diversified our offerings in this category because our customers are doing more with analytics in many different ways. Use your own solutions, or our dashboards, integrate with other data sources, and use maps for display.

First, every piece of data in every field—even the fields you create on the fly—can be exported or accessed with an API. Second, you can create menu-based reports for regular use and saved searches to call up frequently accessed information. Third, you can create specialized search forms to extract highly detailed sets of data. Fourth, you can use our new ResultsOS on-system reporting solution for amazing, realtime reporting dashboards. Fifth, you can use your own reporting platforms such as Microsoft BI, Tableau and Domo. We also work with data science partners, such as Talus Analytics for world class analysis and modeling. Let’s discuss how to meet your needs now, and over time.
